Transport and logistics: the writing moves while the trucks are out

Reservations noted at delivery, a customer calling back about a delay, a delivery note that comes back unsigned: in transport, the writing always waits for the round to end. Roona highlights in Excel the routes whose cost is drifting, prepares in Outlook the reply to the customer and the chaser for missing delivery notes, and builds the claim file in your own template, consignment note, reservations and photos in order, every fact sourced. The transport plan, driver allocation and what to do next stay with operations.

The tools that count in operations

A transport company runs to the hour, and the writing always comes after the round. Claims, claim files, operations reports, replies to customers, chasing signed delivery notes: it all piles up in the evening. Roona takes that share back in Excel, Outlook and Word, from your templates, your reports and your contracts, quoting the document and the page. Roona plans no route, allocates no driver and monitors no one: operations and decisions stay with your teams.

The routes that cost

The variances calculated and highlighted in the sheet, with the chart. The decision on the transport plan stays yours.

The customer waiting for an answer

The reply ready in your drafts, the cause and the new delivery window. Nothing goes out without you.

The claim file

Facts, reservations and documents brought together in your template, each one sourced. What to do next stays your decision.

How it works

  1. Open the Roona pane in Excel, Outlook or Word, or describe what you need in the app.
  2. Roona reads the selection, the message or the documents you uploaded, then analyses or writes, drawing on your contracts and your templates filed in the operations memory, quoting the document and the page.
  3. You read it over, you correct a date or a figure, you ask for another version.
  4. You approve, you insert into the document or the sheet, or you send from Outlook. What comes back every week, you set up once, and it runs.

Frequently asked questions

Which AI suits a transport company that writes up its claims in the evening?

An assistant that hands back a finished file in your own template: a claim file in your Word styles, a reply to the customer as a draft in Outlook, route costs highlighted in Excel, every fact quoted with its document and page. Roona writes and formats; operations stay yours.

Does RoonaWorks plan the routes?

No. RoonaWorks is not an optimisation tool and connects neither to your transport management system nor to your on-board computers. Roona reads the reports you upload, analyses the variances and writes. The transport plan stays with operations.

Does Roona monitor or score my drivers?

No, never. Roona processes no individual driving data, produces no ranking and is used for no decision affecting your staff. The European AI Act places those uses among the high risk cases: Roona stays an assistant for writing and for reading documents.

Does Roona build a claim file?

Yes, in your template, from the consignment note, the reservations, the photos and the correspondence you upload: the facts, the reservations and their confirmation, the documents, the possible next steps, each one sourced. The decision and the valuation of the loss stay yours.

Does Roona read my contracts and my terms of carriage?

Yes. Upload the contract, the terms and the safety protocols into the operations memory and ask your questions: deadlines for confirming reservations, liability limits, loading obligations, with the page in the answer. You check at the source.

Does Roona make information up?

No. Roona works from your documents and quotes its sources, document and page, so that you can check. Anything that is not in your files or in a quoted source is not in the answer.

Do my rates and my customer contracts stay confidential?

Yes. Encrypted in your browser, hosted in Europe, kept separate customer by customer, never used to train a model. The account can be deleted, GDPR and the European AI Act respected.

Does Roona turn an operations meeting into a written report?

Yes. Record the meeting, up to two hours, or dictate your notes as you leave the dock. Roona turns it into a report: the incidents of the week, actions per customer, deadlines, in your template.

Does Roona work in Excel and Outlook?

Yes, in a pane to the right of the open file. In Excel, Roona reads the selected range and writes formulas, tables, formats and charts. In Outlook, Roona reads the exchange and prepares the reply as a draft, in the tone of the house.

Can my dispatchers use it?

Yes. The operations memory is organised in spaces, one per customer if you want, with separate rights. The Enterprise plan, on request and priced per seat, adds the accounts, shared credits, roles and an audit log.

How much does it cost?

20 € excl. VAT per month and per account, no commitment: the assistant, the document memory, the file generators, the Office add-ins and the Studio, 100 credits a month. 14-day trial, no bank card.
