A consumer AI knows the whole world and nothing about your business. It has never seen your price list, your standard clauses, the notes from the March meeting. Roona starts the other way round. You drop your files in, unsorted, contracts, quotes, catalogues, price lists, meeting notes, and it reads them one by one. Each document joins your company memory: yours, not a public model’s. From then on, when you ask a question or ask for a draft, Roona does not guess: it pulls the relevant passage and tells you which file it came from. That is the difference between an answer that sounds right and one that is. And your files stay yours: encrypted, hosted in Europe, never used to train a model.
The information you need is rarely missing; it just sits in a folder nobody opens. Ask “what payment terms did we agree with this client?” and Roona finds the line in the signed contract. No more digging through inboxes and shared drives.
Every answer comes with its source: the document it came from and the passage used. You never have to take Roona’s word for it, one click and the original opens. A quote, a clause, a rate: nothing comes from a plausible invention.
When someone joins the team, they don’t start from zero: they ask Roona and get the house answer, with the documents behind it. What your company knows no longer walks out of the door with the person who leaves, and getting up to speed takes days instead of months.
The everyday ones: Word, Excel, PowerPoint, PDF, plain text, plus emails and their attachments. You drop the document in exactly as it is, with no renaming and no reformatting. Roona takes care of reading it, retaining what it says and filing it in the right place in your company memory.
There is no ideal library. Some teams start with a handful of files, others load years of archives. The memory grows with you, and the more context it holds, the sharper the answers get. Begin with what you consult most often, rates, contract templates, meeting notes, then add the rest as you go.
You decide. The memory is organised into spaces: one for sales, one for HR, one for management. Each person only reaches the spaces that concern them, and Roona never answers from a document someone is not allowed to see. None of your files is ever read by a human on our side.
