How it works

  1. Open the Roona pane in Word, Excel or Outlook, or describe what you need in the application.
  2. Roona reads the selection, the file or the documents you uploaded, then writes or compares, drawing on your statutes, your past minutes and your templates, citing the document and the page.
  3. You read it over, you correct a decision or a figure, you ask for another version.
  4. You approve, you insert it into the document or the sheet, or you send it from Outlook. What comes back every month, you set up once, and it runs.

Which AI suits an association run by volunteers?

An assistant that hands back a finished file in your own template: board minutes and annual report in Word, the budget highlighted in Excel, the letter to members drafted in Outlook. You write one sentence in plain language, you read it over, you send it.

Does Roona write the board minutes?

Yes, from your notes or from a recording of the meeting, up to two hours long: attendance, discussion, decisions carried, deadlines. Anything that was not voted on is not presented as a decision, and the board approves the minutes.

Does Roona help put together a grant application?

Yes. Upload your minutes, your annual report and the funder’s form: Roona carries the year’s results and the project into the sections requested, citing your documents. The figures and the commitment stay yours.

Does Roona keep the accounts?

No. Roona reads a tracking sheet, compares approved against committed, highlights what overruns and prepares the comment for the general meeting. Keeping the books stays with your treasurer and their software.

Does Roona screen volunteer or staff applications?

No, never. Roona does not screen, assess or rank any person: the EU AI Act classes those uses as high risk. Roona prepares the advert and the reply letters, the choice belongs to the committee.

Can Roona find a rule in our statutes?

Yes. Upload the statutes, the internal rules and the minutes into the memory: ask the question, and the answer cites the article and the page. What is not in your own texts is not in the answer.

Does Roona send the letters to members?

No, Roona prepares them. The message lands in your drafts, with the times, the venue and what to bring. Nothing leaves your mailbox until someone clicks Send.

Is our members’ data protected?

Yes. Encrypted in your browser, hosted in Europe, kept separate by workspace, never used to train a model. Files on minors stay in their own workspace, and you delete what you want when you want.

Can several volunteers use it?

Yes. The memory is organised into workspaces, one per section or per committee if you want, with separate rights. The Business plan, on request and priced per seat, adds the accounts, shared credits, roles and an audit log.

Our committee changes every year: what happens to the memory?

The documents uploaded stay in the association’s workspace, not in the head of the outgoing secretary. The next committee finds the statutes, the minutes and the files uploaded, and picks up where you left off.
